Problem Statement:

The Belong Summit's Speaker Outreach project aims to address the challenge of recruiting high-quality speakers who align with the themes of Diversity, Equity, and Inclusion (DEI), mental and social health, and the core value of belonging. These speakers should also be based in the Greater Toronto Area (GTA) and potentially represent companies interested in exhibiting at the event, scheduled for September 4, 2025, at the Beanfield Centre.

Expected Outcomes:

  1. Thematic Alignment: Students will identify speakers who not only possess expertise in DEI, mental and social health, and fostering a sense of belonging but also demonstrate a genuine commitment to these values. This involves researching potential speakers' backgrounds, previous engagements, and public statements to ensure alignment with the Summit's themes.
  2. Local Representation: Given the requirement for speakers to be based in the GTA, students will focus on identifying influential leaders, experts, and advocates within the local community. This ensures that the Summit reflects the diversity and talent present in the GTA while also fostering connections and collaborations within the region.
  3. Networking Opportunities: Students will leverage the speaker recruitment process to establish connections with leaders of companies that may be interested in exhibiting at the event. By engaging these potential exhibitors early on, students can lay the groundwork for partnerships and sponsorships that enhance the Summit experience and support its objectives.
  4. Event Promotion: Through outreach efforts, students will not only secure speakers but also contribute to promoting the Summit and generating excitement within the community. They'll craft compelling invitations and promotional materials that highlight the value of attending the event, attracting both speakers and attendees who share the Summit's vision.
  5. Long-Term Impact: Building relationships with speakers and potential exhibitors lays the foundation for future editions of the Belong Summit. Conduct research to identify individuals who are influential leaders, experts, or advocates in the fields of DEI, mental and social health, and fostering a sense of belonging.

Explore local networks, professional organizations, social media platforms, and industry publications to discover potential speakers based in the GTA.

Evaluate potential speakers based on their expertise, reputation, alignment with the Summit's themes, and potential to attract and engage the target audience.

  1. Develop Outreach Strategy:

Create a comprehensive outreach strategy that outlines the approach for contacting potential speakers.

Determine the best methods of communication, whether through email, phone calls, social media messages, or in-person meetings.

Craft personalized invitations and pitches that highlight the benefits of speaking at the Summit, including exposure, networking opportunities, and the chance to contribute to meaningful discussions.

  1. Reach Out to Potential Speakers:

Initiate contact with potential speakers, sending out personalized invitations and pitches according to the established outreach strategy.

Follow up with individuals who express interest or require additional information, addressing any questions or concerns they may have.

  2. Training and Workshops: We will conduct training sessions and workshops to equip students with the necessary skills and knowledge to excel in speaker outreach. These sessions may cover topics such as research techniques, effective communication strategies, networking tips, and using technology tools.
  3. Access to Tools and Technology:
  • Students will have access to the ChatGPT paid version, allowing them to leverage advanced natural language processing capabilities for drafting persuasive emails, pitches, and other communications.
  • They will also have access to LinkedIn for outreach purposes, enabling them to connect with potential speakers, conduct research, and build professional relationships within the platform.
  1. Data and Resources: We will provide students with access to relevant data, resources, and templates to support their outreach efforts. This may include databases of potential speakers, sample email templates, promotional materials, and event planning guides.
  2. Weekly Check-ins and Support: We will schedule regular check-in meetings with students to review progress, address any challenges, and provide ongoing support and encouragement. These meetings will offer opportunities for students to seek advice, share updates, and collaborate with staff and peers.
  3. Community Engagement: Students will have opportunities to engage with a supportive community of peers, mentors, and industry professionals who can offer insights, advice, and networking opportunities. This community will serve as a valuable resource for collaboration and learning.
